The Oak Ridge Civic Music Association (ORCMA) keeps records about the musicians, singers, board members, staff, volunteers and donors who make its work possible. This page says what we hold, why we hold it, and what you can do about it. It covers this site, my.orcma.org, including the donation page anyone may use.

What we hold

  • Your name and contact details: email addresses, phone numbers and mailing address.
  • Your connection to ORCMA: the ensembles you play or sing in, positions you hold, agreements you have signed, schedules and attendance.
  • Your giving history, if you have supported ORCMA, including gifts made by card, check or pledge.
  • What you add yourself: a photograph, a biography, and anything you send to the office.
  • A record of when you signed in and of changes made to records, so we can tell who changed what.

Why we hold it

To run the organization. That means scheduling rehearsals and concerts, issuing and tracking agreements, paying the people we engage, sending announcements, and thanking and receipting donors. We do not use your information to advertise to you on behalf of anyone else.

Text messages

ORCMA texts only people who asked for it. You ask by signing in here and ticking the box on your own profile beside your mobile number. Nobody can tick it for you. Untick it, or reply STOP to any message, and the messages stop.

We do not share mobile numbers, or the fact that you consented to be texted, with any third party or affiliate for marketing or promotional purposes. We do not sell or rent them. The company that carries our messages receives your number only to deliver the message you asked for.

Messages are urgent notices only, such as a concert or rehearsal change. Message frequency varies and is low: expect no more than a few messages a month. Message and data rates may apply. Reply HELP for help, or write to the office at the address below.

Email

We email you about ORCMA business and events. Every general mailing carries a way to unsubscribe, and you can turn ORCMA email off on your profile at any time. Messages about something you are personally involved in, such as an agreement you signed, are still sent.

Donations

Card gifts are processed by Stripe, a payment company. Your card number goes to Stripe and never to us: we keep the amount, the date and what the gift was for. The donation page asks for nothing beyond what a gift and its receipt require.

Who can see it

ORCMA staff and board members see what their work requires, and the system limits people to the areas they need. Beyond that, we share information only with the companies that run this system for us, and only so they can run it: website hosting, the database, email delivery, file storage, text message delivery and card processing. They may not use it for anything else.

We do not sell your information. We will disclose it if the law requires it, or to protect someone's safety.

How long we keep it

For as long as you are involved with ORCMA, and afterward for as long as our records require. Gift records are kept because charitable gifts have to be accounted for.

Your choices

Sign in and open your profile to see and correct your own contact details, your photograph and your biography, and to turn email or texts on or off. For anything else, write to the office and we will correct it, tell you what we hold, or remove what we are not required to keep.

Young people

Registrations for youth programs are made by a parent or guardian, and we deal with the parent or guardian about them.

Changes

If this page changes, the date at the top changes with it. A change that affects how we use what we already hold will be told to you directly.
